Getting certificates at Nagoya University

Students and graduates can obtain various academic certificates through multiple convenient methods.

How to apply

Current students: From April 2025, students apply for certificates online through the Certificate Issuance Service rather than using student ID cards directly at machines. The process involves logging into the online system with your THERS account, selecting the certificate type, choosing a delivery method, and completing payment if required.

Graduates: Alumni must first register for a new account through the Certificate Issuance Service for graduates, then apply online. The certificate will be issued in the student’s name at the time of enrollment.

Available certificates

Current students: JR student discount certificates, student status certificates (Japanese/English), certificates of expected graduation/completion, academic transcripts (Japanese/English), health examination certificates, and certificates for previously attended courses.

Graduates: Degree certificates (Japanese/English) and academic transcripts (Japanese/English). Note that the university issues degree certificates instead of graduation/completion certificates, which include degree information and numbers.

Delivery options

Current students can choose from three delivery methods:

  • Campus pickup: Free collection from on-campus certificate machines

  • Convenience store: Collection from participating convenience stores (Seven-Eleven, FamilyMart, Lawson)

  • Mail or office pickup: Delivery by post or collection from department offices

Graduates can choose from two delivery methods:

  • Convenience store: Collection from participating convenience stores

  • Mail or office pickup: Delivery by post or collection from department offices

Fees

Current students: Campus pickup and office collection are free. Convenience store collection and mail delivery cost 300 yen per certificate, plus additional printing or postage fees.

Graduates: All certificates cost 800 yen per certificate. Convenience store collection includes an additional 60 yen printing fee, and mail delivery includes postage fees.

Campus locations

Certificate machines are located at several campus locations including the Northern Purchasing Corner, Books Fronte, Common Nexus, Medical Research Building, and Department of Health Sciences Main Building. Operating hours vary by location.

Important notes

Print reservation numbers are valid for 7 days. Processing time is typically 3 business days for Japanese certificates and 5 business days for English certificates when using mail or office pickup.
